Information you provide directly
When you register your child, book a free trial class, apply for a position, or contact us, you may provide the following information:
Parent / Guardian information: Full name, email address, phone number, mailing address, city, and postal code.
Child information: First and last name, date of birth, school name, current grade, and program enrollment preferences.
Career applicant information: Name, email, phone number, resume/CV, and any information included in your application message.
General inquiries: Name, email, phone number, and the content of your message.
Marketing attribution: How you heard about Aizen Academy (collected during registration).
Information collected automatically
When you visit our website, we may automatically collect certain technical information, including your IP address, browser type and version, operating system, referring URL, pages visited, time spent on pages, and general geographic location (city/region level). Program partners: Aizen Academy delivers programs developed by third-party curriculum providers, including UCMAS Canada Inc., i-Maths, iLEAP Club Inc., and e² Young Engineers Ltd. We may share limited student information (such as name, age, and program enrollment) with these partners as necessary to administer the programs, process certifications, and facilitate participation in competitions and grading exams.
Service providers: We may use third-party service providers to help us operate our website, process payments, send communications, or perform other business functions. Legal requirements: We may disclose your information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect the rights, property, or safety of Aizen Academy, our students, staff, or others.

5. Children's privacy
Aizen Academy provides educational programs to children, and we take the privacy of minors seriously. We collect personal information about children only with the consent of their parent or legal guardian, through our registration and enrollment process.
We do not knowingly collect personal information directly from children through our website. All information about children is provided by their parent or guardian. If you believe we have inadvertently collected personal information from a child without parental consent, please contact us immediately so we can delete it.
Photographs and recordings: During classes, events, and competitions, Aizen Academy may take photographs and video recordings of students. By agreeing to our Terms and Conditions during registration, parents grant permission for these images to be used for promotional purposes (website, social media, print materials), provided no full name or address is attached to the images unless explicitly authorized. Parents may withdraw this consent at any time by contacting us in writing.

6. Data retention
We retain personal information for as long as necessary to fulfill the purposes described in this policy, or as required by law. Specifically:
Active student records: Retained for the duration of enrollment plus two years after a student's last class, to support re-enrollment and provide references if requested.
Career applications: Retained for up to one year after the application is received, unless the applicant requests earlier deletion.
Website analytics data: Retained in accordance with the retention settings of our analytics provider (typically 14–26 months).
Financial records: Retained as required by Canadian tax law (generally seven years).

7. Data security
We take reasonable measures to protect personal information from unauthorized access, disclosure, alteration, or destruction. These measures include secure hosting, encrypted data transmission (SSL/TLS), restricted access to personal data on a need-to-know basis, and regular review of our security practices.
